For Indie Campers Bookings
Drop-Off Process
When you arrive at the drop-off location, an Indie Campers representative will assist you through the following steps:

Inspect the Vehicle and Take Photos:
- The representative will check the campervan’s condition and take photos to document its state after your trip. These photos will be uploaded to our booking history records for future reference.

Register Return Condition Details:
- During the drop-off, several aspects of the vehicle will be checked:
- Check-Out Time: Please be mindful of your check-out time. If the check-out time extends beyond the booked hour, additional fees and delays may occur. We appreciate your cooperation in adhering to the agreed-upon times.
- Fuel: We will check if the fuel level matches what is indicated on the rental agreement’s departure sheet. If the fuel level is lower, a charge will apply. For more information, please review our Fuel Policy.
- Adblue: We will check if the adblue level matches is above minimum level. If the adblue level is lower, a charge will apply. For more information, please review our Adblue Policy.
- Charge (Electric Models Only): We will check if the battery level matches. If the battery level is lower, a charge will apply. For more information, please review our Terms and Conditions.
- Mileage: We will compare the current odometer reading with the one recorded at pick-up. If you have exceeded your mileage package, a charge will apply according to our Mileage Policy.

LPG:
- For models with pressure odometers, we will compare the readings from pick-up and drop-off. If there is a difference, a charge will apply.
- For models with independent LPG bottles, if a sealed bottle was used, a charge will apply according to our LPG Policy.

Cleaning: We will inspect the cleanliness of the van. Please ensure the following:
- The grey water tank is emptied.
- The black water tank is emptied.
- The kitchen kit, tables, chairs, and surfboards are cleaned.
- The fridge is turned off, emptied and minimally cleaned.
- Excessive dust inside the van is cleaned.
- All trash is taken out.
- Notes:
- Failure to follow the cleaning protocol may result in penalties as described in our Terms and Conditions.

Damage: We will inspect the van for any damages. If any are found, they will be recorded on a technical blueprint of the van to highlight the affected areas.

Payment for Charges:
- Any charges resulting from the return condition details will be discussed. You can choose to have these charges deducted from your security deposit or use an alternative payment method. Invoices for any payments made at drop-off will be sent to you via email. If you have any questions, you can reply directly to the email.

Customer Feedback:
- We value your feedback and will ask you to rate your overall experience with Indie Campers.
Important Note: The security deposit is not released immediately after drop-off. We conduct an internal audit post-checkout to identify any damages accurately. This allows us to oversee any issues quickly and thoroughly, as the check-out inspection can be limited. Once this process is completed, the hold on the deposit will be released. For Marketplace Bookings
When you arrive at the drop-off location for a marketplace booking, the host will:

- The host will check the campervan’s condition. Any damages found will be recorded in the rental agreement and agreed upon by both parties.

Discuss and Agree on Damage Costs:
- If there are damages, it is recommended to discuss and agree on the costs with the host to avoid disputes later. Transparency is key in the customer-host communication.

Fill Out the Rental Agreement:
- The rental agreement will document the vehicle’s condition at both pick-up and drop-off, including any damages, mileage, and fuel level. It covers the following:
- Check-Out Time: If the check-out time causes the host to wait more than two hours, they may charge a fee equivalent to half a night’s rental. If the delay affects another booking, the host can charge a full night’s rental per eight-hour period, plus an administrative fee of €100.
- Fuel: The host will check if the fuel level matches the departure sheet. If not, host can charge for the difference. For more information, please review our Fuel Policy.
- Mileage: The host will compare the odometer reading to the departure sheet to determine if you’ve exceeded your mileage package. If so, they can charge the agreed amount per kilometer.
- Cleaning: The host will inspect the campervan for cleanliness, including the exterior, interior, waste deposits, grey water tank, and water deposit. If the van is not reasonably clean, the host can charge a cleaning fee.
- Damage: Any damages found will be recorded in the rental agreement, comparing the before and after status on the van’s blueprint.
